Privacy Policy

Bar with Me is a waitlist for a new app that shows you which bars and venues are actually busy right now, with live headcounts and what's on tonight, built with UK university students in mind. This policy explains what personal data we collect when you join the waitlist, why we collect it, and what rights you have. We've tried to write it in plain English wherever we can.

Who we are

Bar with Me is currently operated by its founder as an individual, not yet as a registered company. If we incorporate as a company, we will update this section with our registered details.

What information we collect

When you join the waitlist through our sign-up form, we collect:

• Full name
• University
• Email address
• Instagram handle
• Referral code, yours, and the code of whoever referred you, if applicable
• The date and time you signed up

We don't ask for anything more than we need to run the waitlist and referral leaderboard.

Our hosting provider, Netlify, also automatically logs standard technical data whenever you visit the site, such as your IP address and browser type. This is normal web server behaviour and isn't something we ask you for directly.

Why we collect it

We use your information to:

• Manage the launch waitlist and keep track of who has signed up
• Run the referral leaderboard, so we can count referrals and show progress
• Contact you about the Bar with Me launch
• If you've ticked the marketing box, send you product updates and occasional marketing emails

Our legal basis for using your data

Under UK data protection law, the UK GDPR, we need a lawful basis to use your personal data. Here's ours:

• Marketing emails: consent. We only send these if you've actively opted in on the sign-up form.
• Running the waitlist and referral programme: consent, by signing up you're asking us to add you to the list, and our legitimate interests in operating a fair, functioning waitlist and referral scheme for people who've chosen to join it.

In plain terms, we only use your data to do the things you signed up for.

Marketing emails and your choices

The sign-up form includes an optional checkbox:

Marketing emails are opt-in only. If you don't tick the box, we won't send you marketing emails. We'll only contact you about things directly related to the waitlist itself.

Every marketing email we send includes an unsubscribe link. Unsubscribing withdraws your consent immediately, and we'll stop sending you marketing emails.

Who we share your data with

We use a small number of trusted service providers to run Bar with Me. They only process your data on our instructions, they don't use it for their own purposes.

• Airtable (Formagrid, Inc.): stores your waitlist sign-up data.
• Netlify: hosts our website and keeps standard server logs.
• Mailchimp (Intuit): sends our launch and marketing emails. We haven't sent any sign-up data to Mailchimp yet, as our marketing emails haven't launched, but we will use it for this once they do.
• Google Fonts: our website loads fonts from Google's servers. This means Google receives visitors' IP addresses when a page loads. Google doesn't set cookies on your device through this, see our Cookie Policy for more detail.

Airtable, Netlify and Mailchimp are US based companies. Where we transfer personal data outside the UK, we rely on appropriate safeguards, such as Standard Contractual Clauses, the UK International Data Transfer Addendum, or a relevant adequacy decision, to keep your data protected.

How long we keep your data

We keep your waitlist sign-up data until you unsubscribe or ask us to delete it. We also review the list periodically and delete data we no longer need. If you'd like your data removed sooner, just email us and we'll sort it.

Your rights

Under the UK GDPR, you have the right to:

• Access the personal data we hold about you
• Correct anything that's inaccurate or incomplete
• Ask us to delete your data
• Restrict how we use your data
• Receive your data in a portable format
• Object to us using your data
• Withdraw your consent at any time

If you're not happy with how we've handled your data, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. You can reach them at ico.org.uk or on 0303 123 1113. We'd really appreciate the chance to put things right first, so please talk to us before you do.

Keeping your data secure

We take reasonable technical and organisational steps to keep your data safe. Our site is served over HTTPS, and access to your sign-up data is restricted to people who need it to run the waitlist.

Children

Bar with Me is aimed at university students and isn't intended for anyone under 16. If we discover we've collected data from someone under 16 without appropriate consent, we'll delete it.

Changes to this policy

We may update this policy from time to time, for example as the product develops or our list of service providers changes. We'll post any changes here and update the "last updated" date at the top.
